Our Approach to Personal Data & Privacy

Motivote's job to be a trusted resource as voter navigate a sometimes-confusing journey in an ecosystem where misinformation is on the rise.

We can't fulfill that role if our community has doubts over how we manage personal data. That's why it's critical that we're upfront, transparent and ethical about user data.

When we ask users to share any personal info, we are clear about why we are asking and what we do with the info. For example:

  • We ask for the address where you're registered so we can identify your upcoming elections.

  • We ask you to share your phone number so we can send reminders about upcoming deadlines.

  • We ask you to confirm your email and phone number to make sure our messages actually get to you


Data We Collect

We collect the following personal information from users:

Required to save an account:

  • First Name

  • Last Name

  • Email Address

Optional to earn points and unlock more actions:

  • Phone Number (for SMS reminders)

  • Date of Birth (for voter registration status check)

  • Street Address (for personalized election lookup)

Collecting this information makes it possible to:

  • Provide election-specific, personalized voting info based on your address

  • Look up critical info like your upcoming election date and registration status

  • Help you keep track of what actions have been completed and what’s left

  • Send reminders about upcoming elections or uncompleted action steps

  • Let our partner organizations know how their users are engaging

  • Manage competitions and prizes, which are based on earning points

  • Understand opportunities to improve our product and experience

Out of respect for your users’ privacy, we suggest you:

  • Limit access to your Admin Portal and data to people who absolutely need it. Let our team know ASAP if you need to remove admin permissions for any of your users.

  • Avoid sharing downloaded data files by email when possible. If sharing is necessary, use a tool like One Time Secret to limit and protect access.

  • Use password protection and multi-factor authentication for any device where user data is downloaded and remember to delete data you aren’t actively using.

Motivote will never sell our users' data. When somebody creates an account, Motivote and the Licensee both retain ownership rights over data. Licensee may use the data for their own communication purposes (such as adding members to an email newsletter) but cannot in turn sell it.
