Intro

Social commitments are an effective strategy to increase voting because people are more likely to engage in a behavior when their peer are doing it too. Motivote puts this insight into practice through "teams" that help you get ready to vote as a group and "invites" to engage a broader community and track impact.

About Teams

  • Teams are grouping of users. Users can be part of multiple teams.

  • Points earned for completing actions will "roll up" to the team totals for any teams the user is on. Teams with more members will have higher points scores.

  • Motivote uses a parent-and-child team hierarchy structure. Create a child team nested "within" a parent team.


How to Create Teams

There are two ways to create new teams:

  1. Create a new team as a user on the main dashboard

  2. Create a new team as an Admin on the Admin Portal

Create New Team as a User

If this feature is enabled for your dashboard, users can instantly create new teams with the "Create" button. Once saved, the team will appear to other users.

  1. Select the Main Team, the parent team under which the child team will be created. If no child team is selected, the new team will be a top-level team.

  2. Optionally add a Team Logo for the top left corner of the dashboard. If no logo is added, the new team will "inherit" the logo of the parent team.

  3. Add a Team Description, which appears in the Home Page description field on that team page. This section will 'inherit" the dashboard-wide heading for this field.

  4. Click Create to save the team. It will automatically show on the dashboard.


Create New Team as an Admin

Regardless of whether the 'Create Team' option is enabled for users, admins can publish new teams to their dashboard from the Admin Portal.

  1. When logged into the Admin Portal, go to the Teams tab.

  2. Click the Add button. This is a green button on the top left.

  3. Add a Team Name. This will display on the Team Leaderboard and in Invite links.

  4. Select the Parent Team, under which your new team will be created. This can be adjusted later on from the Admin Portal.

  5. Optionally add Team Images: Team Logo, Backsplash and Meta-Image. If none are added, the new team will "inherit" the images for the Parent Team.

  6. Add a Team Description, which appears in the Home Page description field on that team page. This section will 'inherit" the dashboard-wide heading for this field.

  7. Optionally customize the Invite Friends Message Template (instructions below).

  8. Click Save to create your team. It will automatically show on the dashboard.


About Invites

Invites are unique referral links that make it easy to engage your broader community and track impact. Each user can generate their own referral links from the Invite Friends tab.


How to Use Invites

Open the Invite Friends tab. Find the button under the main team logo.

Sending Invites

There are three ways to use referral links:

1. Invite By Referral Link

Copy the unique referral code and share to external platforms. The link will automatically update in the field if you change the selected team or points configuration.

2. Invite By Email

Enter a batch of email addresses into the field. Optionally edit the pre-populated text field before clicking Send emails. You can review your message before sending it. Motivote will send the message to the email addresses you inputted.

3. Share to Social or QR Code

Click the Twitter or Facebook logos to open pre-populated text and your unique referral link. Click the QR code to open an image file with your encoded referral link. Download or copy the image to share to external platforms or materials.

Tracking Invites

Once invites are sent, users can track engagement on the My Motivote tab. The tracker shows all members who joined through the referral link, plus invites that were sent through the Invite By Email option.


Custom Invite Messages

On the Invites tab, there is a pre-populated text field. Admins can customize the default text that shows on the Invite Friends page. It will be populated whenever someone opens the page. Then, individual users can further customize this text before copying it into the platform of their choice or sending email invites through Motivote.

How To Edit Default Template

  1. When logged into the Admin Portal, go to the Teams tab.

  2. Open the Edit view for your Root Team. This is an aqua button with a pencil icon.

3. Add your content to the field called Invite Friends Message Template.

Custom Message Variables

The following variables will pre-fill with the information of the individual user who is sending the invites:

  • {{ branded_page_name }} populate name of dashboard (aka the Root team)

  • {{ team_name }} populate the specific team user has selected from the drop-down menu; upon clicking the referral link, new invitee will be joined to this team

  • {{ user_name }} populate the name of the user who is sending the message

You can also create a custom message for every sub-team. Otherwise, sub-teams “inherit” the message set for the Parent team above it.


Configuration Options

On a dashboard-wide basis, your Admin can disable the Invite Friends or Create Teams feature. Admins can also set the Create Teams option only for specific teams, so users can create new teams under child teams but not root parent teams.

Users can designate each link as "points-earning" or not. If the points-earning setting is enabled, users earn points for each new member who joins through that link.
